ZOOM TRAINING

GOALS

To become comfortable with Zoom technology by developing an understanding of, the possible uses and applications for, and how to manage the features that will be utilized during virtual meetings.

This training exercise will be performed in groups of 2-3 people. Each person will take a turn being the facilitator while executing the following steps. Choose a discipline that you will be facilitating this year.
1. OPEN DOCUMENTS THAT WILL BE USED DURING THE ATF MEETING
Open the documents / web pages for the pretend meeting you will be facilitating virtually during this exercise.
  1. www.aztransfer.com directed to the dashboard of a discipline you will be facilitating this year. (ex: Nursing dashboard)
  2. A separate window for the Common Course Matrix within that discipline.
  3. The ATF Meeting power point presentation. This can be accessed through the discipline’s dashboard or your thumb drive. Open the pdf version if available.
2. START AN IMPROMPTU MEETING
  1. Go into the Zoom app that has already been downloaded on your computer.
  2. Click on “Meetings.” Copy your Personal Meeting ID.
  3. Click on “Chat.” Click on the “+” sign to add people to your chat. Send out your Personal Meeting ID link via the group chat.
  4. Open another web browser and paste your Personal Meeting ID link.
  5. Choose the green tab “Join with Computer Audio.”
  6. Hover cursor over the bottom of the screen, and a popup menu will appear. Choose “Start Video” to start the video portion of the meeting.
  7. Have everyone connect to the meeting using your personal Zoom link. They will paste this into a new browser window and connect to the meeting.
  8. All teammates should share their cameras and microphones. Thumbnails of their camera’s view should appear along the edges of the screen.
3. SHARE YOUR SCREEN
  1. Again, from the same popup menu that appears when the cursor hovers along the bottom of the window, choose to Share.
  2. This next screen allows you to toggle through the files you will be sharing. Toggle through the windows you opened in Step 1: Nursing dashboard, Nursing CCM, and Nursing ATF Meeting Presentation PDF.
  3. Note that everything within the green bar outline will be shared for all to see.
  4. When the Nursing ATF dashboard is shared, make a note of the phone number and meeting code for the audio portion of the meeting found on the discipline’s dashboard.

4. START A CHAT
  1. Hover the cursor at the top of the computer screen, near the ZOOM message bar that shows the Meeting ID in green, and the words “Stop Share” in red. When you hover above this screen, a popup menu appears. All the way to the right is “More.”
  2. Click on “More,” and the first tab in the drop-down menu is “Chat.” Type in “Welcome to the _____ ATF meeting. If you can’t hear us, call _______. Use meeting code __________ for the audio portion of the meeting. Please remember that this meeting is being recorded.” Remember that these numbers are found on the dashboard of the discipline assigned to you above.

5. START THE AUDIO ONLY PORTION OF THE MEETING
In addition to connecting to the meeting via laptop, all members of the group should also use their cell phones and call into the meeting utilizing the number that the facilitator just typed into the chat. The facilitator will open the line. All may hang up once they’ve succeeded in connecting via telephone.
6. EXPERIMENT WITH OTHER FEATURES
Hover cursor at the top of the screen above the green tab with the Meeting ID and the red Stop Share tab. Experiment as a group with these other tabs that appear in the popup menu:
  1. Mute
  2. Manage Participants – this is where you can assign a new host.
  3. New Share – you can choose to share just the internet, or a different application that is open on your screen. Experiment with toggling back and forth with “new share” possibilities.
7. EXPERIMENT WITH THE ANNOTATE FEATURE
This is especially cool, because you can mark up your screen while you all are viewing it together. However, notice that in order to scroll to the bottom of the screen, you must click this feature off before your screen will move. Experiment with these features while on the screen of the discipline’s dashboard:
  1. Text the words “Look at this!”
  2. Draw an arrow to the meeting date.
  3. Draw a circle around the virtual meeting details.
  4. Stamp an “X” to mark out the 2019 Meeting Notes.
  5. Stamp a “Star” next to the name of the Chair.
  6. Eraser one of the marks
  7. Format to change the colors
  8. Undo
  9. Clear all markings made on the page.
8. "STOP SHARE"
“Stop Share” in the red tab at the top of the screen. Let another person in your group share his/her screen.
9. "END MEETING FOR ALL"
“End Meeting for All” from the tab in the lower righthand corner of the camera screen.
10. REPEAT
Repeat this exercise with other members in your group, utilizing the dashboards of the different disciplines they will be facilitating.
