The table below represents ATF members who did not submit their RSVP for the associated meeting in 2025.  Review the data for your institution.  Is the person still active?  Remove them from the membership is they are no longer participating in the ATF. Inactivate their profile if they are no longer active at your institution.

3. CHECK YOUR INSTITUTION'S ACTIVE PROGRAM vs. NO PROGRAM STATUS AND CHECK WITH CIEN.

4. REVIEW YOUR INSTITUTION'S AGEC INFORMATION BY UNPACKING EACH CATEGORY.

Ensure that each category includes directives at the top of the screen the delineate category requirements.  Add / update the wording to describe category requirements for your institution as needed.  See the example below:

5. CHECK ZOOM LINKS

Check Zoom links for meetings you’ve been assigned to facilitate.  Does the system recognize you as the Meeting Host?  Are you able to open the meeting link?  Do you have host controls?

6. REVIEW AZTRANSFER FACILITATOR DUTIES IN THE HANDBOOK

Review the AZTransfer Facilitator Duties & Responsibilities section in the Handbook to reacquaint yourself with the role’s responsibilities and expectations.

7. REVIEW 2025 MEETING REPORTS & MINUTES

Review the 2025 Meeting Reports and Minutes for the meetings you have been assigned, paying particular attention to the AZTransfer memo sections. Consider meeting with the previous year’s facilitator to gain additional insight, context, and recommendations.

8. REVIEW MATRIX CHANGE REPORTS

Review Matrix Change Reports for each of your assigned meetings to gain historical perspective.  

9. REVIEW AZTRANSFER TIMELINE FOR EMAIL COMMUNICATIONS

10. PREPARE FACILITATOR EMAIL

Prepare the emails the Facilitator sends 30 days before the meeting. Hold in Draft folder until it’s time to send them.
