UNDERSTANDING CEG DATA SOURCES

Data reflected in the Course Equivalency Guide originates from four different sources, and updates are made on an ongoing basis.

DARS or Peoplesoft

  • Universities review all courses through ACETS, update their own data systems, then submit uploaded datafiles to AZTransfer weekly.
  • Typically, the file is sent from their Transfer Articulation office.
  • All data in the CEG is reflective of these university files.
  • AZTransfer cannot change the data in these files.  If data is incorrect, the fix is at the university level via ACETS

ACETS

  • Community colleges submit courses for evaluation in ACETS using New Course, Modified Course, or Deleted Course forms.
  • Universities review submissions.
  • Universities encode results in their data system.
  • Every Tuesday, data file is uploaded to AZTransfer.
  • Every Wednesday, AZTransfer publishes data in the CEG.

Community Colleges

  • Colleges submit course title data when there are many “Course Title Not Available” records in their CEG.
  • Usually, the person who oversees transfer creates a simple spreadsheet.
  • Need can be identified through CEG Advanced Search function.  (Query “Course Title Not Available” in Course Title field.)
  • Community colleges can submit data files to Rebecca/  Mary Beth monthly or annually
  • NOTE:  If a college is current on their ACETS processing, they do not need to submit anything. Titles can be pulled from ACETS data instead.

Chatlines

  • Institutional facilitators review their course bank every summer to catch misfires.
  • Updates to CEG data are made through the Chatlines.
  • Chatlines > Edit Screens > #7 Edit CEG Data
  • Extensive changes can be loaded into Excel and sent to Rebecca, who will send on to the universities,  for batch updates.
