ATF MEETING CHECKLIST

BEFORE THE MEETING

MATERIALS NEEDED
  • Web browser open to your Virtual Binder page
  • Digital documents and links from ATF Dashboards and your Virtual Binder
  • The morning of the meeting, go to the ATF's dashboard and click on "RSVP". Print out or screen shot the list of attendees. You will use this list to verify actual attendance at the meeting.
MEETING SETUP
  • Set up and prepare 30-45 minutes prior to the meeting start time to test your connection and have all the proper files and web pages open.
  • Make sure you can log in and connect with Zoom.

DURING THE MEETING

  • Do a roll call of attendees based off the RSVP list. Record attendance.
  • Ask for a notetaker to record actions and decisions of the group.
  • Ask for a volunteer to assist with monitoring the chat.

AT THE END OF THE MEETING

  • Log out of Zoom.
  • Obtain the meeting notes from the notetaker.
  • Collect all matrix worksheets.
  • Identify and record the name and institution of the host and chair for the next meeting.
  • Confirm the date for the next meeting.
  • Complete your meeting report and enter in proposed matrix changes.
IMPORTANT!!!
The complete meeting packet is due 14 DAYS after the meeting. We strongly recommend that you begin your report as soon as the meeting concludes.
