If a Meeting Chair or Meeting Host is no longer able to fulfill their assignment, the following order of responsibility applies:
- Responsibility of Chair or Host who is no longer able to fill the role: The volunteer is expected to make every effort to find their own replacement by sending a request to the ATF’s listserv. Volunteers should also notify AZTransfer and the appropriate facilitators (both meeting and institutional) as soon as possible.
- Institutional Facilitator Responsibility: If the volunteer is unable to secure a replacement, the Institutional Facilitator from the same institution is responsible for assisting with recruitment through the listserv and helping identify a replacement volunteer.
- Meeting Facilitator Responsibility: If a replacement has still not been identified, the Meeting Facilitator may be asked to assume Meeting Chair duties to ensure the meeting proceeds as scheduled. If a Meeting Host is not secured, the meeting will transition to an online-only format.
Pro Tip: When sending a request to the listserv, include links to the
Meeting Chair Duties & Responsibilities and/or
Meeting Host Duties & Responsibilities sections of the Handbook. Providing clear information about the role, responsibilities, and expectations helps potential volunteers better understand what the position involves before committing.
